Schedule a studio session

Schedule a recording session to invite participants to your studio at a specific date and time.

Step by step

  • Schedule a session

    1. Log in to your Riverside account.
    2. Click the project you want to record in. 
      The recordings created during the live studio session will automatically be organized in this project.
    3. At the top of the page, click Plan.
    4. Select Schedule session.
    5. Add a Title.
    6. Under Date, click the calendar.svg calendar and pick a day.
    7. Under Time, scroll to select the desired clock.svg start time.
      You are blocked from scheduling a session that takes place during the same time slot as an existing session in the same studio. In these cases, you can either schedule the session in a different studio, adjust the duration of the existing session, or delete the existing session.
    8. Under Timezone, select a timezone.
      If you do not change this setting, it defaults to the host's local timezone.
    9. Enter email addresses of up to 10 guests or audience members

    10. Enable audience registration for the session (optional).
    11. Click Create session.
      Invited participants receive a personalized email invitation containing all the session details and a unique link to the studio. The link is tied to the participant's email and grants access during the scheduled session and up to 24 hours after the session's start time.

  • Add additional participants 

    1. Click the project folder containing the upcoming event.
      The details of the scheduled studio session appear at the top of the project page.

    2. On the far right of the listed session, Click ••• [the three dots].

    3. Click Edit session.
    4. Enter email addresses of up to 10 guests or audience members
    5. Click Update session
      The new participants receive a personalized email invitation containing all the session details and a unique link to the studio. The link is tied to the participant's email and grants access during the scheduled session and up to 24 hours after the session's start time.

  • Resend an invitation 

    1. Click the project folder containing the upcoming event.

    2. On the far right of the listed session, Click ••• [the three dots].

    3. Click Edit session.
    4. Next to the relevant participant's email, click on the role to open up the dropdown.
    5. Click Remove this invite.

    6. Enter participant's email.
    7. Click Update session
  • Reschedule a session

      1. Log in to your Riverside account.
      2. In the sidebar on the right, click the Scheduled tab.
      3. To the right of the relevant session, click the ••• three dots.
      4. Click Edit session.
      5. Adjust the title, date, time, or timezone.
      6. Click Save.

    If you change scheduling information on Riverside, your participants will not receive another email with the updated details. Likewise, the Google Calendar event will not be updated. To inform participants of the changes, re-invite them to record in your studio with an invite link or email.

  • Cancel a scheduled session

    1. Log in to your Riverside account.
    2. In the sidebar on the right, click the Scheduled tab.
    3. To the right of the relevant session, click the ••• three dots.
    4. Click Remove.
    5. The scheduled session is canceled and removed from the project folder.

    When you cancel a session or remove a participant from the invite list, the link to the studio included in the original email invite becomes invalid and does not open to your studio. 

    Important:
    If you cancel a session, your participants will not receive another email with the updated details. Likewise, the Google Calendar event will not be updated.

Icon.svg Good to know

  • Participants can only join the scheduled session using the generated link. Generic studio links do not grant access to scheduled sessions.
  • You can schedule multiple sessions per studio based on your Riverside plan

    • Business plan - schedule an unlimited amount of sessions per studio and 1 session per project at a time.
    • All other plans - schedule up to 3 sessions per studio and 1 session per project at a time.
  • If you create the session from the Projects page, a new project folder appears containing the upcoming event.
  • If you change or remove the scheduling information on Riverside, your participants will not receive another email with the updated details. Likewise, the Google Calendar event will not be updated.
