Allow pre-registration for your scheduled studio session

« To Audience registration: Overview

Enable pre-registration using a customized audience registration form to plan for your event in advance. You can see who's planning on joining the session ahead of time and share details with them. After the session, you can see who attended and who didn't, and easily stay connected.

To collect audience details only when someone enters the studio, or to manage pre-registration outside of Riverside, use the direct session link instead.

Step by step

  1. Schedule a studio session.
  2. From the scheduling page, to the right of Audience registration, toggle on toggle-on.svg to enable it.
    When the toggle is on, you are restricted from inviting audience members via email.
  3. Under Registration type, select Registration form.
  4. Add a Title and Description.
  5. To the right of Custom registration fields, toggle on toggle-on.svg to enable it (optional). 
  6. Click Add field to add additional fields for registrants to fill out.
    The fields for first name, last name, and email address are always required.
  7. Select from the following field types: phone number, country, text, or checkbox.

    • Add a phone number field 

      1. Select phone.svg Phone number.

      2. Click •••  [the three dots].
      3. To the right of Required field, toggle on toggle-on.svg  to make this field mandatory.

      4. To remove the field, click trash.svg Remove.
    • Add a country field 

      1. Select Icon.svg Country.

      2. Click •••  [the three dots].
      3. To the right of Required field, toggle on toggle-on.svg to make this field mandatory.

      4. To remove the field, click trash.svg Remove.
    • Add a text field 

      1. Select text-input.svg Text field.

      2. Enter your question. 
        Your audience can reply in up to 250 characters.
      3. To the right of Required field, toggle on toggle-on.svg to make this field mandatory.

      4. Click Save.
      5. To remove the field, click •••  [the three dots] and then click trash.svg Remove.
      6. To edit the field, click •••  [the three dots] and then click edit-2.svg Edit field.
    • Add a checkbox field

      1. Select check-square.svg Checkbox field.
      2. Enter your question.
        Your audience can check or uncheck the boxes to respond.
      3. To the right of Required field, toggle on toggle-on.svg  to make this field mandatory.
      4. Click Save.
      5. To remove the field, click •••  [the three dots] and then click trash.svg Remove.
      6. To edit the field, click •••  [the three dots] and then click edit-2.svg Edit field. 
  8. You can change the order of the fields by clicking and dragging the Icon (2).svg handler icon.
  9. Click Preview registration page to review the layout and ensure everything looks correct.
  10. Click Create session.
    The session is shown at the top of the project page. 
  11.  Click Copy registration link

  12. Share the link over email, social media posts, text messages, ect. for people to pre-register for the live studio session.
    Important
    If you invite a guest or producer to the session using the Invite people via email option, they will only receive a studio invite link and will not receive the registration form

Icon.svg Good to know

  • With the registration link, people enter their name, email, and custom fields to register for the upcoming event. They then receive a confirmation email with the event details, including the time zone and a unique joining link that identifies them as approved audience members.

  • Registered audience members must use the link in their confirmation email to enter the studio. If a registrant hasn’t received or can’t find the confirmation email, you can resend it or share their unique joining link directly to ensure they have access when the session begins.

  • Registrants can join from the Riverside iOS app or via the web using Chrome or Edge. 

Next steps

  • You can see who registered and reject people from entering the session.
  • If you want to add an audience member at the last minute, you can copy the registration link from the live stream panel in the studio. Anyone you share it with will still need to enter their details to register for the event and receive a confirmation email with their unique joining link.
  • After the session, you can see which registrants attended and which did not. Please note that you cannot see this information for people who did not pre-register, such as invited guests
  • The event will remain visible in the project folder for one month for your reference. After that, you can always download the registration details from the Recording Files.
  • Audience registration applies only to studio sessions hosted on Riverside and does not extend to streams hosted on other channels.
  • Your customized settings are saved for the next event hosted in the same studio.
